I think it would be helpful to Roel if you could give an indication of what you have tried and what has not worked as expected. Then he would know what level of hint or help is needed to allow you to get things to work as you would wish.

Hi,

On the "Add Event" screen under "Send Mail" there will always be a pre-filled To: address.

It seems highly likely to me that if an administrator provides a default list of addresses on the "Settings" screen under:
Reminders > General >Default list of recipients
then it is probable those people will always need to be informed. In that case the "Send Mail Now" box on the "Add Event" screen needs to be checked by default.

So my suggestion is that there should be an additional option for the administrator to set on the settings screen under:
Reminders > General
that if checked forces the "Send Mail Now" box on the "Add Event" screen to be checked by default.

Just an idea!

The Settings Screen help prompt for the Calendar Email Address field says it is acceptable to enter either "email" or "name <email>".

However, when I entered the name "SBC Calendar" together with an <email address> emails were not received and my log files reported:

SMTP mail to SBC Calendar <correct address here> failed.
Error in 'from' field.

If I enter the email address alone emails are dispatched.

I recall that last year there was some checking of email addresses that rejected addresses such as  those ending in org.uk  It would appear that there is a similar check on this field and a name in the form that I enter is failing that test.

What might I be doing wrong?

In settings, under General I have set my Calendar email address

Under "Send notification of calendar changes" I have checked the "Recipient list" box and entered the same email address

Under Reminders-Email I have set

Sender of notification emails: as calendar
Mail server: as SMTP mail
and completed SMTP server name and SMTP port number correctly
SSL (Secure Sockets Layer) is checked
SMTP authentication is checked
Username and Password are entered correctly (the same address as in the previous fields)

When I use the SMTPTest file it didn't work until I set the port correctly, but messages sent through the test page work! So I deleted smtptest file but notification are still not arriving.

What might I be doing wrong or what might be stopping emails flow?

Hi Schwatz,

It seems I didn't read far enough on the page I quoted from. It explains...

For the owner of the event and users with "manager" rights this  check mark is a hyperlink and, when clicked, will open a window to check/uncheck the check mark.

So it seems the answer is that you can unlock the "completely locked" event.

A question... On that page you give an example where you first say that when a booking is approved it becomes controlled by the Admin and the user loses control of it. Then you go on:

You approved the booking, but You changed the time by half an hour. The user can see that, and maybe You let the system send a mail. If You have set it up, the user has to accept the booking by marking the todo field.
This way the user makes a final accept, and the booking are now completely locked.

Does "completely locked" mean that neither the Admin nor the user can any longer edit the event. For example neither can delete it.

Hi Dan,

Good thought, especially as I have in mind some classes of users whose entries will need approval. However, my question really comes into the Calendar owner category, and for that you really do need full documentation of the kind Schwartz provides on his site.

However, your suggestion does raise one question, do you know which of these files are current and used. It would appear my installation may have some redundant help files left over from earlier installations.

I am running:
LuxCal calendar: 4.7.2M (mycal)
PHP: 7.1.3 - Show info
Database: MySQL V5.5.60-cll

My help folder includes:

ug-02.htm
ug-02-english.htm
ug-02-english.html
ug-04-english.htm
ug-04-english.html

Part of the problem may be that my installation was made through a package that my web host provides called Softaculous. (Makes installation a breeze but comes with the disadvantage that you never quite know what is going on under the surface.)

It took me an age to find it going through the menu system. The problem was that as a new visitor I had no clue that there was a link at the bottom of the page you pointed me at.

There was no underline and the text didn't change to a distinctive colour till after I had visited it. That's definitely a feature that needs changing on your otherwise very useful site.

There really ought to be a Help page built into LuxCal describing the feature. It's one I will definitely be using, for regular users of our buildings to book their next set of dates.

When logged in as an Administrator and on the Calendar screen, at the bottom of the Side menu there is a "To Do" option that opens a small window similar to the Upcoming and Approve windows. How does that window become populated with data?

That I am aware of. But if you have the "Options" button displayed then it makes the default set of Year, Month, Week and Day buttons redundant. There's no point in confusing people with two ways of accessing the same views.

(Yes, I know you could regard the four View buttons as a one-click alternative to opening the Options dialogue and then selecting your desired View, but I suspect that most casual Viewers of a calendar would prefer the four View buttons and no Options button, because currently there appears no way to remove all the additional, and for them pointless, options from the Options dialogue.)

However, if I remove the "Options" button, then it is gone for all users logged in or not and clearly for those who are calendar Maintainers rather than just viewers, there are some very helpful, even essential, options there.

All excellent stuff for complex needs, but not where it is important to keep the interface as simple as possible for naive users who just want to check when the next meeting of their group is to be held and which is the venue for that meeting.

I assume that you want a setting for the menus for public ( no menu checked=no option button shown )  and a setting for menus for logged-in - right?

Yes!

I also want the ability to show/not show any of the three columns "Views", "User Groups" and "Categories" on the "Options" dialogue.

That way, as an Administrator, you have the ability to decide whether to use the four View buttons on the Navigation Bar and not show the options Button, for users who only need to view the calendar.

Then, if your calendar is more complex, for those who only need to view the calendar without logging in, you might want to remove the Four View buttons from the navigation bar and replace them with the single "Options" button, but the dialogue that appears will probably only need to display the "Views" and "Categories" columns. (The User Groups column only seems relevant to calendar maintainers and senior ones at that! As a junior maintainer you probably don't need to worry about any user groups, just know that you have permission to add events at a particular venue or for a particular type of meeting.)

Finally, we consider the needs of those who help in maintaining the calendar (and I expect to have lots of them). They might have need to see the "User Groups" as well as the "Categories" column on the Options dialogue as a way of checking what else has been arranged in the organisation before they pick the date and venue for their activity.

Currently, there is no control that allows you to customise the appearance of the "Options" dialogue, other than whether to show it all.

There must be many calendars where the ability to switch between Year, Month and Day views are all that is needed by the vast majority of users who will only need the default Public Access view.

For these, the default set of buttons that control the "Year", "Month", "Week" and "Day" views of the calendar will be all that is needed.

For them the Options dialogue offer a meaningless set of "User Groups" options, and, for most, an additional set of "Views" that will have little benefit. I accept there may be more that would want to filter a busy calendar a "Category".

Can the default behaviour of LuxCal be changed so that by default, in Public Access, mode the "Options" button does not appear on the Navigation Bar.

Further, can options be added so that it is possible to select which of the three columns on the Options dialogue appear when the dialogue is opened.

I imagine there are many calendars where it would be useful to filter the calendar view by categories, even for Public Access users, but the other columns only need to be displayed for those who contribute to the maintenance of the calendar.

I expect very few of my audience to be any other than "Public Access" viewers who will only need simple Year, Month and Day views of all events.

Thanks for the confirmation that clearing the "Options" check box will lose it from all users. Clearly, it offer important options for those with responsibility for maintaining parts of the calendar. I wouldn't want to lose it for all.

I'll make that suggestion!

I'm still very much exploring how to work with LuxCal and how to get the best out of it.

You could say our trouble is that 50% of our membership are elderly and have no interest the the Internet, and many of those that are online are self taught in middle age with many misunderstandings. Probably less than half who have phones have smart phones, and many with feature phones only turn them on when they want to make a call. Things like RSS and QR codes are probably beyond more than one or two of our regulars.

I've yet to fully explore the Displays feature of LuxCal, but I am hopeful that it will provide a good solution for displaying the calendar on smart phones.

Oops! I should learn to test properly, like you AND I should learn to click links like everyone else!

Almost invariably, my habit is to is to wheel-click any link, to open it in a new tab. So when I saw the status line said indicated that it would open the link as a new non-embedded copy of the diary AND I then wheel-click the "Elaine Smith" link, sure enough I found exactly what I expected.

But now I see that if I do a conventional left-click the link behaves exactly as you describe and then will be how most operate.

I'm running  LuxCal calendar: 4.7.2M (mycal)
and, after almost a year, am getting round to populating my calendar with data but I am having problems with email addresses entered in event description fields. Here's a typical entry in the field:

A concert of spirituals and gospel songs interspersed with Bible readings and Testimonies.
contact: mailto:concert@stalhambaptist.org.uk [Diana Gordon]

I previously left out the "mailto:" then added it to see if that was my mistake!

In both cases, once posted the link appears as "Diana Gordon" but the link points at:
http://www.stalhambaptist.org.uk/diary/index.php#

Incidentally, the calendar is embedded at:
http://www.stalhambaptist.org.uk/diary.php

What could be the solution?

The default buttons to switch between Year - Day view are all that's needed by my users when in "Public Access" mode and the Options button just reveals options that will make little sense and confuse them.

Is there any way to hide the "Options" button until logged in?

Am I missing something or should I post this request in "Suggestions" area?
